Executive Summary

Impressit developed a web app for patient data registry to help MAD manage and track information. Here’s how it works: upon scheduling an appointment, patients receive a structured form via email where they can describe their symptoms and indicate areas of discomfort using detailed visual guides. 



 

This completed form is then sent to the therapist, providing them with a clinical brief before the patient’s visit.
Initially, this system was designed exclusively for internal use within MAD. Its purpose was to manage data for both patients and therapists, ensuring a more structured and centralized record-keeping approach. Over time, the system evolved significantly.



From an internally-focused tool, it expanded into a platform for broader use. Other clinics now license the system under a white-label model, enabling them to customize and utilize the technology for their own needs. Enhanced administrative features have also been incorporated, such as roles for admin managers and receptionists, making the system more robust and scalable.

Client Background

MAD (Melbourne Athletic Development) is an Australian clinic with an elite team of physiotherapists. Having sports backgrounds, they use active rehab techniques, massage, dry needling & cupping. The clinic sought to develop a web application to streamline therapists' operations. The primary goal of the application is to facilitate pre-visit data collection. 

Challenges and Objectives

The clinic faced significant operational inefficiencies:


  • Data management: Patient data was stored in Excel spreadsheets, resulting in disorganization and inefficiencies.

  • Time consumption: Physiotherapists spent a substantial portion of a session (up to 20 minutes of a 45-minute visit) gathering basic patient information, reducing the time available for treatment.

The new system addressed these challenges by automating and streamlining:

  1. Patient data collection: Patients fill out forms independently, reducing the administrative burden on physiotherapists.
  2. Time management: Physiotherapists can now focus entirely on delivering care, as the pre-filled briefs provide all necessary information upfront.

 

The implementation of this system has led to tangible benefits:

  • Time savings: Physiotherapists have significantly reduced the time spent on administrative tasks, enabling them to focus solely on patient care.
  • Revenue growth: With more time available, physiotherapists can accommodate additional patients, increasing the clinic’s overall income.


This streamlined approach ensures that every minute of a session is dedicated to delivering care rather than handling administrative formalities.

 

An integral part of the project included integration with CliniKo, an Australian CRM system tailored for hospitals and therapists. This system allows clinics to manage patient histories and administrative tasks efficiently. It stands out as a unique solution in the market, as noted by the client.

 

 

 

 

 

 

 

Future Outlook

Looking ahead, MAD envisions further enhancements to the system. The goal is to create a unified, scalable platform with an organizational hierarchy. Key planned features include:

  • Superadmin role: A superadmin would oversee multiple organizations using the system, offering top-level management capabilities.
  • Admin and user roles: Each clinic would have its own admin managing patients, appointments, and other operational tasks, while users (e.g., physiotherapists) would focus on their specific responsibilities.
  • Expanded functionality: Features such as creating, editing, and managing appointments and client data would be further refined to meet the needs of diverse clinics.

 

MAD aims to deliver an all-in-one solution that balances ease of use with robust administrative capabilities.
